Role overview: 

The Academy & DJX Co-ordinator will assist Digital Jersey in delivering our range of short courses for 1500 course attendees. In addition to end-to-end administration of the course programme, the post holder will take on a range of other administration tasks supporting the delivery of Digital Jersey’s core objectives. The post holder will also act as receptionist and site officer for the Digital Jersey Xchange (DJX), our facility in St Brelade and will need to be based there (free parking available).

The Academy & DJX Co-ordinator is responsible for supporting the Events & Facilities Manager to achieve utilisation targets for DJX and for making the space work for members by providing a stimulating and productive environment. The individual will play a key role in liaising with stakeholders and members, supporting course applicants and therefore this is mostly a people-centric services role.

This role can be performed on a part-time basis (minimum 25 hours per week) and would be suitable for someone looking to undertake work during school hours.  

The role is for a fixed term period of 6-9 months commencing in June 2022 and terminating when the external funding to support this post ceases.

Reporting to: Head of Academy and Events & Facilities Manager

Key responsibilities: 

  • Provide administrative support for short courses within our Academy including managing the applications process, liaison with tutors, dealing with ad-hoc enquiries, coordinating room bookings, securing resources, and reporting and analysing activity 
  • Oversee day-to-day operations at DJX including being the first point of contact for members in the facility, keeping the amenity adequately supplied and raising orders as required, logging activity and reporting on utilisation 
  • Finance processing including processing invoices onto the accounting system (Xero), chasing debtors (as a support to other team members) and other related administrative tasks

Other responsibilities: 

  • Support the development of the Digital Jersey network of members
  • Other business support projects and tasks as required

Skills required: 

  • Strong administrative skills with experience in using Office 365; a good working knowledge of Excel and Teams would be an advantage 
  • Excellent organisational and time management skills 
  • Strong written and oral communication skills 
  • Personable and able to engage with a wide range of stakeholders 
  • Ability to work independently and as part of a team 

Experience required: 

  • Experience in or aptitude for developing and marketing facilities 
  • Experience in using Xero or similar accounting package would be an advantage 
  • Experience in events support would be an advantage
