Safeguarding Policy

Our Commitment to Safeguarding

We are committed to ensuring the safety and wellbeing of all children, young people and adults at risk who engage with our services or visit our spaces. Their welfare is always our highest priority, and we aim to create an environment where everyone feels safe, respected and supported.

Who We Safeguard

  • Children (under 16)
  • Young people (16–17)
  • Adults at risk (18+ who may be dependent on others or at increased risk of harm)

Our Principles

We believe that every child, young person and adult at risk:

  • should never experience abuse or exploitation
  • has the right to protection regardless of background, identity or circumstances
  • is best safeguarded when we work in partnership with families, carers and external agencies
  • should be listened to, respected, and supported if they raise a concern

How We Keep People Safe

We maintain a strong safeguarding culture by:

  • appointing a Designated Safeguarding Lead (DSL) responsible for safeguarding oversight and two deputies
  • ensuring staff and volunteers receive appropriate safeguarding training
  • following safe recruitment practices, including background checks where required
  • maintaining clear codes of conduct and professional boundaries
  • applying robust online safety and acceptable-use measures
  • handling information professionally and securely in line with data protection requirements
  • ensuring concerns are recorded and shared appropriately with relevant authorities
  • maintaining safe physical and digital environments through established health and safety practices

Safeguarding in Our Event & Co-Working Spaces

Our facilities are used for co-working, meetings, training and hosted events — including programmes that involve children, young people and adults at risk. When our spaces are used for events involving minors:

Our Responsibilities

  • provide a safe and well-managed venue
  • carry out event-specific risk assessments and safety planning
  • work with visiting organisations to ensure appropriate supervision levels
  • manage zoning and access to shared facilities (e.g., designated toilets for children where appropriate)
  • implement event-appropriate safety measures, such as controlled building access, wristbands, security presence or supervised areas
  • brief event organisers and participants on venue safety expectations

Responsibilities of Visiting Organisations

Schools, colleges, youth groups and other visiting bodies:

  • retain full safeguarding responsibility for their children and young people
  • must provide adequate supervision at all times
  • are required to follow their own safeguarding procedures while using our facilities
  • may be asked to provide their own risk assessments ahead of events

This shared approach ensures the safety of all visitors while recognising the primary safeguarding role of the organisations accompanying minors.

Photography, Media & Social Media

We only use names or images of children, young people or adults at risk when:

  • consent has been obtained from them or, where appropriate, their parent/guardian
  • the content is appropriate, respectful, and does not create any risk
  • it is clear that participation/consent is entirely optional

Reporting Concerns

We encourage anyone, service users, families, staff, volunteers, visitors or partners, to raise concerns about safety or wellbeing.

  • All concerns are taken seriously and addressed promptly.
  • Our Designated Safeguarding Lead oversees referrals to external agencies where necessary.

If a concern relates to a child or young person who is attending with a school or organisation, it may be referred directly to the supervising staff in line with established safeguarding responsibilities.

Our Duty of Care

Everyone working with us or using our services is expected to:

  • uphold a high standard of professional behaviour
  • act with respect, care and integrity
  • maintain clear boundaries
  • follow our safeguarding and conduct policies
  • report any safeguarding concerns immediately
